PCD Data Refreshes

PCD Data Refreshes normally take place on the first Monday of every month.  The next PCD data refresh will be Monday, April 1.  And, no, we wouldn’t dare fool you about this!

PeopleSoft PeopleTools 8.59.21 Update

PeopleTools provides the underlying technology for PeopleSoft applications, including Campus Solutions.  PeopleSoft applications are built, deployed, and maintained using PeopleTools. 

The next PeopleTools update for production is tentatively scheduled for April 27.  Internal testing activities for SBCTC functional teams began March 6.

PeopleSoft Update Image Calendar

2024 brings more Image and HCX (Highpoint Mobile) updates.  The Campus Solutions pillar anticipates adopting three images and HCX updates simultaneously – triple the fun of all that goes with image adoption – and so we will need your patience and support.  For CS Core, testing is tentatively scheduled to begin in June with a slated production release in the fall.  

Are You Receiving ctcLinkAlerts?

SBCTC uses the ctcLinkAlerts eList to send notices about planned downtime for system updates, production alerts, urgent issues, and any unplanned downtime.

Each college maintains a local ctcLinkAlerts email distribution list (e.g., ctclinkalerts@columbiabasin.edu, ctcLinkAlerts@spscc.edu) which your ctcLink College Leader maintains as needed. 

These college lists, not individuals, are subscribed to ctcLinkAlerts@lists.ctc.edu.

It’s each college’s choice who to include, but typically colleges include their local ctcLink leadership, local ctcLink committee or taskforce members, key subject matter experts, IT, Help Desk, and PIO.

OAAP Search/Match Enhancement is Live

The new Search/Match rules for the Online Admissions Application Portal (OAAP) are live in Production as of March 26, 2024. Thank you to all who spent time testing and providing feedback!

The new Understanding OAAP Search/Match Quick Reference Guide (QRG) is now available in the ctcLink Reference Center.

Colleges may also refer to the OAAP Search/Match Rules UAT presentation to review configuration changes. 

OAAP Search/Match UAT findings

User acceptance testing was held March 5-6, with 100 users across 25 colleges participating. The OAAP Search/Match issues, questions, and comments reported during UAT were resolved and/or deemed out of scope for this Enhancement Request (ER 238).

CS Launchpad Changes

The changes made to CS Launchpad were released in ctcLink on March 20, 2024.

This tool can be used by colleges’ local security administrators to copy a user’s SACR settings from one use to another in Campus Solutions.

CS Core Training: Reviewing Enrollment Cancellation

Wednesday, April 3, 2024, 8:30 – 10 a.m., Read more and join the session.

Are your students aware that not paying their tuition and fees in full or making payment arrangements by the final tuition payment deadline could result in their classes being canceled? The Enrollment Cancellation process identifies students who are past due on tuition payments. It is critical to note that if students are selected and dropped as part of the enrollment cancellation process, they will also be removed from all waitlisted classes simultaneously.

To ensure smooth operations and avoid any potential issues, we strongly encourage you to attend our upcoming meeting. This meeting will cover the crucial enrollment cancellation functionality of ctcLink and include information on canceling Class by Class Within Term and Term Cancellation. We are excited about your participation and hope you will gain valuable insights from the information shared.

CS Core Training: Graduation Tracking

We invite you to join us in reviewing the Graduation Processing process, with a focus on Graduation Tracking and Search functionality. Suppose your college allows students to apply for graduation online through ctcLink. In that case, the Graduation Tracking Search page will be the first resource credential evaluators access when looking for new graduation applications to review. Once accessed, evaluators can use the Graduation Tracking page to update statuses and add Graduation Notes.

Because the impact of the Student Program/Plan is wide, it is important to get them right!  We’ll warm up with a quick review of the building blocks involved:  effective-dating, adding rows, action reasons, and attributes.  Then, make connections with term activation, tuition calculation, FA, the AAR and the transcript. Of course, we need to save time for common conundrums like when to start a NEW stack vs adding a change row not to mention everyone’s favorite, those certificates earned “along the way.” 

Student Program/Plans also matter to QARS and NSC Reporting.  We will cover general best practices for ensuring data accuracy which also conveniently reduces NSC and QARS errors.  And we’ll close by strongly advocating for various maintenance activities such as keeping term activation tidy and minimizing the number of open Student Program/Plans.

Many higher education institutions rely on the Free Application for Federal Student Aid, or FAFSA, to help them determine how much of their institutional money to give out in the form of grants that students will not have to repay.

Unfortunately, the troubled federal rollout of the new FAFSA form — and the revision of the formula for determining who gets federal financial aid — means that any attempt to offer a price quote to current or recently admitted students may be just a rough estimate.

FAFSA Go-Live Timeline Q&A Session

Last Thursday, SBCTC FAFSA leaders hosted a Q&A session to go over the latest timeline update and respond to questions.

• While the video is unlisted at the SBCTC YouTube channel, anyone with the link can see it. Embedding is enabled should someone need that feature.

The SBCTC team is putting its heads together to compile answers to add to the FAQs, both for the questions answered during the session, as well as those we were unable to answer during the Q&A.

Based on feedback, there is strong interest in future FAFSA Q&A sessions. Stay tuned for details.

New SBCTC FAFSA Resources Webpage

SBCTC has launched 2024-25 FAFSA Resources web page geared toward our college system. The page includes regularly updated information for college employees and includes updated FAQ templates. The content will evolve and grow as we learn more.

FAFSA Position Paper

Krista Francis, VP of Student Services, Peninsula College; and Karl Smith, VP of Student Affairs, Tacoma Community College, shared a WSSSC-led position paper, A Unified Approach to FAFSA Simplification Implementation for Washington Community and Technical Colleges, last week.

In preparation for the release of ISIRs and the fast approach to summer and fall quarters, this position paper was prepared for college presidents and vice presidents by leaders of WSSSC, FAC, BAC, and SBCTC IT and Student Services.

Query Code Freeze Begins Tuesday, April 9

The ctcLink Production Support team is in the process of testing the next upgrade to PeopleSoft PeopleTools 8.59.21 which will migrate to production on Saturday, April 27, 2024.

As of Tuesday, April 9, 2024, the code freeze impacts query migrations and there will be no query migrations until after Saturday, April 27. 

Please see the timeline line below.

• Wednesday, April 3 – Last day to submit query migration request before query freeze
• Tuesday, April 9 – Query code freeze begins
• Saturday, April 27 – PeopleTools migration to production
• Monday, April 29 – Query code freeze ends
• Monday, April 29 – Back to normal query migration request schedule.

In the case of an emergency, we will evaluate the issue and determine if a migration or emergency fix to a production query needs to occur.

PCD Refresh and Your Queries: Get Ready!

The PCD (Production College Development) environment will be refreshed from PRD on Monday, April 1, 2024.

Beginning Friday, March 29, at noon, PCD will not be available for query development until after the PCD is refreshed.

What you need to do

Make sure any PCD queries you want to keep begin with the prefix DEV_ unless you have submitted a ticket requesting backup of queries that will be used for BI Publisher, Pivot Grid, or nVision reports.

Standard Queries

Any queries in PCD that do not begin with DEV_ will be deleted.

• This applies to all standard Public and Private queries. SBCTC will perform a query backup for in-progress queries (private and public) that meet the DEV_ naming convention.
• This backup will NOT be done by folder. This means if a query is in the DEVELOPMENT folder but doesn’t begin with DEV_ it will be overwritten and lost.

BI Publisher, Pivot Grid, and nVision Queries

Any query used in a BI Publisher, Pivot Grid, or nVision report DOES NOT have to follow the DEV_ protocol as it is very time-consuming to change them back when they are ready to migrate.

Instead, please submit a Service Desk ticket under Data Services – Reporting – Other with the title “PCD Refresh Backup Request.”  Provide the name of the query being developed for use in one of the advanced reporting tools in the request.  These queries will be individually backed up on an as-needed basis.

What to expect

• The queries in the backup will be imported back to PCD after the refresh is complete and a notice is received from Application Services.
• Data Services will send a message to you once our work is complete.
• Please do not log back into PCD after Friday, March 1, at noon but wait until you receive a notification from Data Services.
• Queries that do not follow these naming conventions will be lost

Naming convention for queries

• Being developed in PCD: MUST begin with the prefix DEV_
• Used for training in PCD: MUST begin with QXX_TRAIN
• Being developed for use in BI Publisher, Pivot Grid, or nVision reports in PCD: MUST begin with the appropriate convention based on the reporting tool being used. Do not follow the DEV_ convention. Request must be sent to Data Services via Service Desk ticket.

Why you need to do it

Queries that do not follow this convention will not be backed up and will be lost.

Join us!  The ctcLink Accessibility monthly forums engage Washington's community and technical college system in discussions around ctcLink accessibility and technology. We aim to improve communication and transparency while providing space for productive and solution-focused dialog. Our main objective is to deliver accessible technology for all our students, staff, and the larger community.

Meetings are held the second Tuesday of each month, 11 a.m. to noon.

The next ctcLink Accessibility Open Forum will be Tuesday, April 9, 2024, at 11 a.m. All are welcome to attend via Zoom.
