PeopleSoft Update Image Calendar
2024 brings more Image and HCX (Highpoint Mobile) updates. The Campus Solutions pillar anticipates adopting three images and HCX updates simultaneously – triple the fun of all that goes with image adoption – and so we will need your patience and support. For CS Core, testing is tentatively scheduled to begin in June with a slated production release in the fall.
Are You Receiving ctcLinkAlerts?
SBCTC uses the ctcLinkAlerts eList to send notices about planned downtime for system updates, production alerts, urgent issues, and any unplanned downtime.
Each college maintains a local ctcLinkAlerts email distribution list (e.g., ctclinkalerts@columbiabasin.edu, ctcLinkAlerts@spscc.edu) which your ctcLink College Leader maintains as needed.
These college lists, not individuals, are subscribed to ctcLinkAlerts@lists.ctc.edu.
It’s each college’s choice who to include, but typically colleges include their local ctcLink leadership, local ctcLink committee or taskforce members, key subject matter experts, IT, Help Desk, and PIO.

CS Core Training: Reviewing Enrollment Cancellation
Wednesday, April 3, 2024, 8:30 – 10 a.m., Read more and join the session.
Are your students aware that not paying their tuition and fees in full or making payment arrangements by the final tuition payment deadline could result in their classes being canceled? The Enrollment Cancellation process identifies students who are past due on tuition payments. It is critical to note that if students are selected and dropped as part of the enrollment cancellation process, they will also be removed from all waitlisted classes simultaneously.
To ensure smooth operations and avoid any potential issues, we strongly encourage you to attend our upcoming meeting. This meeting will cover the crucial enrollment cancellation functionality of ctcLink and include information on canceling Class by Class Within Term and Term Cancellation. We are excited about your participation and hope you will gain valuable insights from the information shared.
CS Core Training: Graduation Tracking
Wednesday, June 5, 2024, 8:30 – 10 a.m., Read more and join the session
We invite you to join us in reviewing the Graduation Processing process, with a focus on Graduation Tracking and Search functionality. Suppose your college allows students to apply for graduation online through ctcLink. In that case, the Graduation Tracking Search page will be the first resource credential evaluators access when looking for new graduation applications to review. Once accessed, evaluators can use the Graduation Tracking page to update statuses and add Graduation Notes.

Game, Set, MATCH! Understanding Search/Match
Thursday, May 2, 2024, 1-3 p.m., Learn more and join the session
Module/s: Student Admissions, PeopleTools
Primary Audience: Admissions
References: Searching for Records (Using Search/Match)
One of the biggest differences between ctcLink and Legacy is that there is only ONE Person Record, and that one record is shared between pillars and between institutions. Colleges rely on each other to protect, and respect, data integrity. You know that running Search/Match will help prevent duplicates. Want to know more about why and how? This session will explore how Search/Match Rules work, give you insights into our current configuration, and share strategies for avoiding duplicates.
CS COREterly Open Q&A Sessions
The CS Core team invites you to attend its quarterly Open Q&A sessions! While these sessions are for learning and problem-solving, we want to emphasize that these are also part of our efforts to support community building.
We want these sessions to provide an opportunity for college users to:
- Get assistance with any functionality they want to better understand or situation they are struggling to make work.
- Seek advice on anything they are trying to solve.
- Share best practices and lessons learned.
- Develop networks and build community.
To support the varied work areas of our users, each session will have a breakout room for each of the following modules:
- Records & Enrollment, which includes Student Program/Plan, Term Activation, Enrollment Appointments, Enrollment, Transfer-In Credit, Transcripts, Graduation and so on.
- Campus Community, which includes 3Cs, BioDemo, Service Indicators and so on.
- Curriculum Management, which includes class building, course catalog management, enrollment requirements and so on
Along with your colleagues who can share their real-life experiences and the solutions they have employed; CS Core team experts will be present in each room. We encourage you to submit your questions before the session (but doing so isn’t required). Enter your questions on the CS COREterly Question Submissions tab. Knowing your questions ahead of time just helps us to be prepared and allows us to help as many people as possible.
We hope you’ll join us even if you don’t have specific questions! We look forward to connecting with you and for you to connect with each other.
The Lifecycle of a Transcript
Thursday, April 4, 2024, 1-3 p.m., Learn more and join the session
Module/s: Records & Enrollment, Student Admissions
Primary Audience: Credential Evaluators
Related QRGs: Transfer Credit Chapter
From send to post, Joe Carl and Ryan Jackson will overview the electronic journey a transcript takes from both the Legacy Transcript Tool and ctcLink. Some will have a final destination of UW, WSU, CWU, EWU or WWU and we’ll talk about how they get there. For the rest, those whose destination IS ctcLink, we’ll cover that as well as what credential evaluators need to know and some of the more common gotchas, tips and tricks.
Stacking the Deck: Student Program/Plans
Thursday, June 6, 2024, 1-3 p.m., Learn more and join the session
Based on college feedback, this year we are creating more spaces for sharing lived experience. I’m looking for a couple of colleges to join the party. Before you tell me you can’t because you’re still working things out, that’s fine! We just need folks willing to share what they are doing and how it’s going. If you’re up for it, please contact Michelle Kuwasaki.
Module/s: Records and Enrollment
Primary Audience: Admissions, Student Records
Related QRGs: Student Program and Information Chapter
Because the impact of the Student Program/Plan is wide, it is important to get them right! We’ll warm up with a quick review of the building blocks involved: effective-dating, adding rows, action reasons, and attributes. Then, make connections with term activation, tuition calculation, FA, the AAR and the transcript. Of course, we need to save time for common conundrums like when to start a NEW stack vs adding a change row not to mention everyone’s favorite, those certificates earned “along the way.”
Student Program/Plans also matter to QARS and NSC Reporting. We will cover general best practices for ensuring data accuracy which also conveniently reduces NSC and QARS errors. And we’ll close by strongly advocating for various maintenance activities such as keeping term activation tidy and minimizing the number of open Student Program/Plans.

Webinar: How Our Institutions are Accommodating and Navigating the Delay in Higher Education Financial Aid for 2024
- Thursday, March 28, 2024 12:30 to 1:30 p.m., Register to attend free webinar
- The event will be recorded in case you cannot attend.
This free webinar, presented by the League of Education Voters, will give a high-level view of steps Washington state higher education institutions – two-year and four-year, public and private – are taking to help students cope with the financial aid delays and how students and families can navigate the current situation.
Many higher education institutions rely on the Free Application for Federal Student Aid, or FAFSA, to help them determine how much of their institutional money to give out in the form of grants that students will not have to repay.
Unfortunately, the troubled federal rollout of the new FAFSA form — and the revision of the formula for determining who gets federal financial aid — means that any attempt to offer a price quote to current or recently admitted students may be just a rough estimate.
- Live Spanish interpretation and closed captioning in English will be provided.
- Moderated by Arik Korman, League of Education Voters Interim Co-CEO / Communications Director
Confirmed Panelists
- Sam Alvarado (he/they/she), a senior at Moses Lake High School in the Moses Lake School District and a member of the Association of Washington Student Leaders (AWSL)
- Athaliah Ioane (she/her), a sophomore at Whitworth University double majoring in Political Science and Communications - Journalism and a member of the Washington Student Engagement Networks
- Rebecca Tibbetts (she/her), a graduate of Walla Walla Community College who is now working on a Master of Arts in Higher Education Student Affairs at Grand Canyon University, the Columbia Regional Coordinator for the Washington Student Engagement Networks, and the Food Pantry Coordinator at Walla Walla Community College Ruben Flores, Executive Director at the Council of Presidents
- Terri Standish-Kuon, President & CEO at Independent Colleges of Washington
- Becky Thompson, Director of Student Financial Assistance at the Washington Student Achievement Council (WSAC)
- Joyce D. Hammer, Deputy Executive Director for Education at the Washington State Board for Community and Technical Colleges

FAFSA Position Paper
Krista Francis, VP of Student Services, Peninsula College; and Karl Smith, VP of Student Affairs, Tacoma Community College, shared a WSSSC-led position paper, A Unified Approach to FAFSA Simplification Implementation for Washington Community and Technical Colleges, last week.
In preparation for the release of ISIRs and the fast approach to summer and fall quarters, this position paper was prepared for college presidents and vice presidents by leaders of WSSSC, FAC, BAC, and SBCTC IT and Student Services.
Key Takeaways
- The FAFSA has undergone significant simplification through legislative efforts, aiming to make federal student aid more accessible.
- Despite intended simplification, challenges in implementation persist, impacting FAFSA submission rates among Washington students, particularly low-income and minority students.
- Changes to the FAFSA process necessitate updates to institutional policies, staff training, and technology systems across Washington's community and technical colleges.
- A unified and collaborative approach is crucial for successful implementation, involving coordination among various campus departments and external partners.
Suggested Actions
- Invest in the well-being of financial aid staff
- Prioritize a comprehensive understanding of legislative changes and their impact.
- Develop and implement a structured action plan encompassing technology update, staff training, policy revisions, and communication strategies.
- Foster a culture of collaboration and communication within institutions and with external partners.
- Ensure clear, accessible information is available to students and families regarding changes in Pell Grant eligibility, application process, etc.
- Address disparities in FAFSA completion rates among different student demographics through targeted outreach and support initiatives.
Next Steps
- Review and discussed the attached draft paper with president council members.
- Consider, as appropriate, sharing with boards of trustees, community-based organizations, and stakeholders.
- Begin to think through scenarios for your college for how to best support the interconnecting work of departments due to this disruption.
- A pivoted action plan with department-specific information will be provided for additional college guidance.
FAFSA Pivoted Action Plan
- Karl and Krista and members of the workgroup have been focusing on action plan for financial aid offices, with the intent that campuses can take the template and create action plans for other areas of their college.
FAFSA in the News
- Keep up with the latest news from the NASFAA FAFSA Simplification Web Center
- ISIRs are delayed until May, what can you do now? Action items for colleges to consider.

PCD Refresh and Your Queries: Get Ready!
The PCD (Production College Development) environment will be refreshed from PRD on Monday, April 1, 2024.
Beginning Friday, March 29, at noon, PCD will not be available for query development until after the PCD is refreshed.
What you need to do
Make sure any PCD queries you want to keep begin with the prefix DEV_ unless you have submitted a ticket requesting backup of queries that will be used for BI Publisher, Pivot Grid, or nVision reports.
Standard Queries
Any queries in PCD that do not begin with DEV_ will be deleted.
- This applies to all standard Public and Private queries. SBCTC will perform a query backup for in-progress queries (private and public) that meet the DEV_ naming convention.
- This backup will NOT be done by folder. This means if a query is in the DEVELOPMENT folder but doesn’t begin with DEV_ it will be overwritten and lost.
BI Publisher, Pivot Grid, and nVision Queries
Any query used in a BI Publisher, Pivot Grid, or nVision report DOES NOT have to follow the DEV_ protocol as it is very time-consuming to change them back when they are ready to migrate.
Instead, please submit a Service Desk ticket under Data Services – Reporting – Other with the title “PCD Refresh Backup Request.” Provide the name of the query being developed for use in one of the advanced reporting tools in the request. These queries will be individually backed up on an as-needed basis.
What to expect
- The queries in the backup will be imported back to PCD after the refresh is complete and a notice is received from Application Services.
- Data Services will send a message to you once our work is complete.
- Please do not log back into PCD after Friday, March 1, at noon but wait until you receive a notification from Data Services.
- Queries that do not follow these naming conventions will be lost
Naming convention for queries
- Being developed in PCD: MUST begin with the prefix DEV_
- Used for training in PCD: MUST begin with QXX_TRAIN
- Being developed for use in BI Publisher, Pivot Grid, or nVision reports in PCD: MUST begin with the appropriate convention based on the reporting tool being used. Do not follow the DEV_ convention. Request must be sent to Data Services via Service Desk ticket.
Why you need to do it
Queries that do not follow this convention will not be backed up and will be lost.
Contact Emily Mullins, Reporting and BI Solutions Analyst for ctcLink, if you have any questions.
